BDP: Designing the future of hybrid work at scale

Our work with Building Design Partnership (BDP) began in 2021, when they were in the midst of formalising their hybrid working policies and processes.

BDP is a global multidisciplinary design practice and the UK’s largest architecture firm. BDP works in collaboration with a network of architects, engineers, and specialists to deliver projects in healthcare, education, and urban regeneration. They operate around a central purpose – to design a world that’s built for good – good for the world as it is now and good for the world of the future, placing an emphasis on sustainability and social value.

The challenge

BDP has a large workforce spread across multiple UK studios.

Bringing the organisation into the hybrid world presented them with logistical challenges and they needed a system to support them to manage office attendance and desk capacity, provide teams with visibility of colleagues’ whereabouts, and remove the need for manual scheduling.

The solution

We worked with BDP to centralise their hybrid working processes, based around 3 pillars – visualisation, integration, and insight. We delivered the following:

  • Interactive floor plans and wayfinding. We created detailed, interactive maps of BDP studios, complete with wayfinding markers. With a visual-first approach, large offices can be navigated easily and desks identified so colleagues can be near each other.
  • Team Today’s deep Microsoft integration with Teams and Outlook enabled a seamless transition.  
  • Advanced management reporting suite provides detailed operational intelligence, offering real-time insights into office usage and patterns, allowing workplace optimisation and identification of high demand zones.

The Outcome

Our solutions gave BDP a central, streamlined approach to hybrid working management, with rapid adoption and without the need for training due to our integration with Microsoft 365.

An added benefit is that Team Today’s built-in safety and compliance features mean that BDP can use the system to help meet their health and safety responsibilities.

We have developed a partnership with BDP that continues to evolve and remains highly collaborative.

Since covid by business has adopted a hybrid working policy, and we quickly realised this new way of working posed new challenges as we struggled to keep track of colleagues' whereabouts. After looking at several tools we selected Team Today because of the way it integrates with Microsoft Teams and Outlook so effortlessly and provides a clear at-a-glance view of where our staff are. The support from Team Today has always been excellent (although we've needed very little help as the platform is very reliable and easy to use). Simple but very effective! They're continually developing too so there's so much more to come. Outside of using Team Today to track people's whereabouts it's a fantastic tool for managing annual leave. I transitioned our company to this (from the dreaded Excel sheets) and it's far simpler to manage; there are reports available, it's easy to change people's yearly allowances, add company/bank holidays etc. Looking forward to seeing what the next few years has in store on the development front!
